Fewer no-shows: how a salon gets them under 10%

Reminders, deposits, and a clear policy. What actually gets people to show up for their appointment, with real numbers.

Every empty chair that was already booked is money that doesn't come back. If you run a salon, a barbershop, or a nail studio, you know the story: the client confirms on Tuesday, doesn't show on Thursday, and that hour and a half goes to nobody.

The beauty industry talks about no-show rates between 15 and 20%. Some studios see more. With 600 appointments a month, a 19% no-show rate is 114 services you didn't get paid for. At an average ticket of $350 pesos, that's almost $40,000 pesos a month of capacity thrown away.

The good news is that this isn't about luck. It's a system problem, and a system gets fixed with three pieces: reminders, deposits, and a cancellation policy people understand before they book.

First, the reminder that actually gets read

Most no-shows aren't in bad faith. The person forgot, something came up, or they mixed up the time. A well-placed reminder fixes a good part of that without you lifting a finger.

What works in practice: one message 24 hours before and another 2 hours before, on WhatsApp, with the service name, the time, the address, and a button to confirm or reschedule. No "reminder of your appointment." Talk the way you talk.

  • 24 hours before: "Hi Ana, we'll see you tomorrow at 4:00 pm for your gel nails. Can you confirm?"
  • 2 hours before: "Ana, see you in a bit. We're at Av. Chapultepec 120."
  • No reply to the 24-hour message: the system flags it and you decide whether to free up the slot.

With just this, many businesses cut no-shows by 3 or 4 points. But forgetting isn't the only cause. The missing piece is the one that hurts: commitment.

The deposit changes the conversation

When someone pays $150 pesos to hold a slot, the appointment stops being an intention and becomes a commitment. It's no accident that nail and lash studios in Guadalajara have charged deposits by bank transfer or Mercado Pago for years: it works.

The numbers we've seen: a barbershop in Guadalajara with 3 to 6 chairs went from 19% no-shows to 9% in 90 days by combining reminders and deposits. Lost capacity dropped from $42,000 to $20,000 pesos a month.

That's the realistic range you can expect: with a deposit, no-shows go under 10%.

How much to charge? The usual is between 20 and 50% of the service, or a flat $100 to $200 pesos. The exact amount matters less than when it's charged: at booking time, through a payment link, without asking for a screenshot or checking your bank app.

The policy nobody argues with

A deposit only works if the rule is clear before the person pays. If a client cancels two days ahead and gets her money back without a fuss, she'll trust you. If the rule changes with your mood, you'll get fights.

A policy that works well in beauty fits in three lines:

  • Cancel or reschedule 24 hours ahead and your deposit is refunded in full or moved to the new appointment.
  • With less than 24 hours' notice, the deposit stays as compensation for the reserved time.
  • 15 minutes of grace. After that, the slot is released.

Put it on your booking site, in the confirmation message, and in the reminder. If it's in three places, nobody can say they didn't see it.

What it looks like all together

With Agenka the three pieces come assembled. You set your policy once, define the deposit percentage per service, and from there the system does the rest: the client books from your site, pays the deposit by card, gets a confirmation with the rules, and receives reminders on WhatsApp. If she cancels in time, the refund goes out on its own. If she doesn't show, the deposit stays with you.

You don't chase anyone or check transfers. You just see a full calendar and the people who actually show up.

If you want to try it, the Inicio plan is $349 pesos a month and includes deposits, reminders, and your booking site. There's a 14-day free trial, no card required, and we don't charge a commission per appointment. Avoid three no-shows a month and it has paid for itself.
